📝 How to Create a Tender
The Tenders section on Jazalla empowers business owners to create and manage tender requests seamlessly. This guide outlines the steps to post a new tender, define specific criteria, and track its progress, ensuring a streamlined procurement process.
Steps to Create a Tender
-
Navigate to Tenders: From the left sidebar menu, click Marketplace, then select Tenders to access the dedicated Tenders page.
-
Initiate Tender Creation: Locate and click the + Add New Tender button, typically found in the top-right corner of the Tenders page, to begin the process. This action opens the tender creation form.
Filling Out the Tender Form
After clicking + Add New Tender, you will be directed to a form where you can provide detailed information. Based on the platform's design and tender management context, the following fields are typically included:
- General Information: This step helps you define the core details of your tender to be published on Jazalla Marketplace. It's the foundation that suppliers use to understand your request.
-
Tender Title: Enter a clear and descriptive title ( e.g., "Construction Project - Office Renovation" ).
-
Submission Deadline: Set both date and time to ensure clear cut-off for vendor submissions.
-
Tender Description: Include product quantity, technical specs, delivery expectations, and warranty.
-
Visibility Options: You can show your contact email or phone to allow vendors to ask questions directly if needed.
-
Attachment : Upload any reference files like tender submit templates.
- Qualified Sectors: This step allows you to specify the industries or sub-sectors that are eligible to submit bids for your tender. By selecting the relevant sectors, you ensure that only suppliers with verified activity in those areas can participate. You may choose up to two sectors or sub-sectors.
-
Each sector represents a specific business domain, such as Retail, ICT, Construction, etc.
-
The system uses your selection as a qualification filter for suppliers.
In the example shown, the selected sub-sector is: Event & Catering Services (under Food and Beverages)
💡 Tips: Choose sectors that directly match your tender scope. Avoid selecting broad or unrelated sectors, this ensures you only receive bids from qualified and relevant vendors , which improves response quality and evaluation speed.
- Product & Service Information: Choose the type of tender from the options:
-
Product Type: For the product clearly mention product classification, product title, QTY, unit, product description ( e.g., valves, drill, hammer etc ).
-
Services Type: For the services clearly mention services classification, services title, duration, scope of work ( e.g., construction services etc)
-
You can use Auto Classification Search or Hierarchical Classification Search.
-
📝 Note: The more specific and detailed your technical or service description, the better and more accurate the supplier’s quotations will be.
- General Instruction: In this step, you can enter any additional requirements or vendor obligations that should be respected while submitting bids. You can attach extra documents to clarify the instructions. Clear instructions reduce misunderstandings and help you get qualified, compliant proposals.

✅ Steps to Manage Tender
The Manage Tender option on Jazalla allows users to oversee their tender-related posts and responses. Here’s a breakdown of its features:
My Posted Tender Response:
The My Posted Tender Response section allows you to efficiently manage all tenders you have created on the platform. From here, you can review the responses submitted by suppliers, track expressions of interest, and evaluate each proposal. If the tender is related to products, you have the option to accept a response and proceed directly with creating an order as a draft. For service tenders, once a response is accepted, you can seamlessly move forward with generating a contract as a draft. This ensures smooth handling of all tenders you post, from response review to final order or contract creation.
Product Tender Response:
The Product Tender Response section provides a complete overview of all responses you have submitted to product-related tenders posted by other companies. Within this section, you can monitor the status of each tender to see whether your submission has been awarded or is still under review. If your response is accepted, you can also track the associated order details, ensuring that you remain updated on the progress and outcome of every product tender you participate in.
Service Tender Response:
The Service Tender Response section focuses on your submissions to service-related tenders posted by other users. Here, you can monitor the progress of each response and check whether your proposal has been awarded. If accepted, you can also review the details of the generated contract, keeping you informed of all updates throughout the process. This section ensures that you maintain full visibility over your service tender activities, from submission to contract finalization.
📝 Note: The entire tender management process is supported by real-time notifications. Both parties are instantly informed when a tender is accepted, an order is created, or a contract is generated. This guarantees full transparency and keeps you up to date with every critical action in the tender lifecycle.
