Log In: Sign in to your Jazalla account using your credentials on the Jazalla platform.

Navigate to Procurement Management: From the left sidebar menu, click on Procurement Management.

Select Bid Management: Within the procurement management, locate and click on Bid Management. This will take you to the dedicated page where all available options are displayed.
📝 How to Create a Bid
The Bids section on Jazalla allows companies to create product and service bids from the procurement side, while enabling suppliers and service providers to submit competitive offers efficiently. This guide outlines the steps to create a bid using the procurement bid section.
Steps to find creation option

Navigate to bid management: From the left sidebar menu, click procurement management, then select bid management to access the dedicated page.

Initiate bid Creation: Locate and click the + Add New button, typically found in the top-right corner of the bid list page, to begin the process. This action opens the bid creation form.
Filling Out the Bid Form
After clicking + Add New you will be directed to a form where you can provide detailed information. Based on the platform's design and bid management context, the following fields are typically included:
- General Information: Define the core details of your bid. This information helps suppliers or service providers clearly understand your request.

Bid Title: Provide a clear and descriptive name for your bid (e.g., “Office Renovation – Electrical Works”).

Project Title (Optional): Link your bid to an existing project if applicable.

Bid End Date & Time: Set the cut-off for submissions to ensure fairness.

Bid Description: Describe the scope of your requirement, including technical specifications, quantity details, delivery or completion expectations, and any warranty conditions.
- Product & Service Information: Select the bid type (e.g., Product or Service.)

- If type product: If the bid type is product then below input need to be fill:
- Product Classification: Select the correct product UNSPSC classification using Auto or Hierarchical Search.
- Product Title, Quantity & Unit – Clearly define the items title, required QTY and unit.
- Product Description – Add item specifications and details.
- Payment Mode – Specify payment method (e.g., advance, on delivery).
- Delivery Mode – Indicate how and where products should be delivered. (e.g., EX-Work, Delivery at place).
- Purchase Type – Select whether it is purchase order or purchase agreement.
- If type services: If the bid type is product then below input need to be fill:
- Service Classification – Select the correct services UNSPSC classification using Auto or Hierarchical Search.
- Service Title – Name the service required.
- Duration & Unit – Define expected duration (e.g., 6 Months).
- Scope of Work – Provide detailed requirements and deliverables.
- Payment Terms – Indicate how payments will be managed.
- Work Location – Specify where the service will be carried out.
- Contract Type & Required Documents – Define contractual conditions and any mandatory submissions

- Supplier / Service Provider Selection: Choose who can respond to your bid. Select suppliers/services provider from either the Global Network or your Corporate Network.
- Bid Instructions: Attach any pre-created instruction template (e.g., Bid Response Template) to guide participants in submitting proper, compliant bids.
📝 Note: You can add multiple products or services under the same bid. Clearly define all information to reduce confusion and ensure quality submissions from bidders.



✅ Steps to Manage Bids
The Manage Bids section on Jazalla allows companies to efficiently oversee all bid-related activities, from creation to response evaluation.
Manage bid list:
All bids you create are displayed in the Bids list, where you can easily track their status and access available actions. Each bid remains open for responses until the submission deadline, ensuring fair participation from suppliers and service providers based on product or services.
Manage bid responses:
Once the bid deadline has passed, you can review all received responses in the Bid Response List. This section includes a price comparison filter that allows you to evaluate offers side by side, making it easier to identify the most competitive and suitable proposals.
Order/contract creation from responses list:
From the response list, you can accept a bid response and proceed with the next step. If the bid type is Product, the system generates a draft Order based on the accepted response, which you can review and send to the supplier. If the bid type is Service, the system generates a draft Contract that you can review and send to the service provider. This ensures a smooth transition from bid acceptance to formal agreement.
Notifications:
Throughout the bid lifecycle, the system provides real-time notifications to both parties. Notifications are sent whenever a bid response is accepted, an order is created, or a contract is generated. This guarantees transparency and keeps all participants informed of every critical action.
📝 Note: Before the bid expires, the bid creator cannot review responses or edit the bid details. During this time, bidders can still submit questions or comments directly in the Bid Details section for clarification.
