✅ How to access Proposal section in Procurement
Follow these steps to get started:

Log In: Sign in to your Jazalla account using your credentials on the Jazalla platform.

Navigate to Procurement Management: From the left sidebar menu, click on Procurement Management.

Select Proposal Management: Within the procurement management, locate and click on Proposal Management. This will take you to the dedicated page where all available options are displayed
📋 Descriptions of Core Proposal Components
The Proposal Management module in Jazalla is fully integrated with procurement workflows, enabling buyers to issue, track, and manage solicitations with ease. It provides a structured process for engaging suppliers, comparing responses, and making informed sourcing decisions. Below are the core components:

RFI/SOI (Request for Information / Solicitation of Interest): An RFI is used to collect general information from potential suppliers about their capabilities without committing to a purchase. It helps buyers explore market options, clarify requirements, and identify qualified vendors early in the process. An SOI is similar but focuses on gauging supplier interest and readiness for upcoming opportunities. Both serve as preliminary steps to build a strong supplier base.

RFQ (Request for Quotation): An RFQ is sent to pre-qualified suppliers to obtain competitive price quotes for well-defined goods or services. It is best suited when requirements are clear, and pricing is the key evaluation factor. Within Jazalla, the RFQ Management section displays entries with details such as quantities, timelines, vendor responses, and statuses, ensuring buyers can monitor submission deadlines and compare quotes efficiently.

RFP (Request for Proposal): An RFP invites suppliers or service providers to submit detailed proposals, including technical solutions, pricing, and compliance with specifications. It is ideal for complex procurements where evaluation goes beyond cost to include factors like quality, innovation, and added value. The RFP Management section in Jazalla supports end-to-end handling of proposals, from submission tracking and scoring to final award decisions, with transparent evaluation progress.

Manage Proposals: This feature allows buyers to oversee unique or opportunistic proposals initiated by suppliers or service providers. These may include offers with significant discounts, bulk sales to clear excess stock, or seasonal product deals. Jazalla provides a centralized space to review, negotiate, and act on such proposals.

RFx Template: The RFx Template library provides ready-to-use, customizable templates that standardize solicitations with consistent clauses and evaluation criteria. Buyers can apply templates while creating RFQs or RFPs, saving time and ensuring compliance. Templates can also be stored for future reuse, accelerating procurement cycles.
📝 Creating & Managing RFI/SOI, RFQ, and RFP
In Jazalla Proposal Management, buyers have the flexibility to both create new solicitations and manage ongoing ones. This ensures a complete cycle — from initial request creation to supplier response, evaluation, and final order or contract generation.
RFI / SOI (Request for Information / Solicitation of Interest):

Go to RFI/SOI Management and click “Add New” in the top-right corner.

A form page will open where the buyer can fill in details such as request title, product classicification, description, attachment, and target suppliers/service providers.

The buyer can either: Save as Draft (keeps the request in draft mode for later editing), Send Inquiry

Managing section:

Once sent, suppliers/service providers can submit their responses through the platform.

Buyers can view all responses in the table and do the action from options buttons.

All th status showing in the list like Sent, Response received.

📝 Note: In the creation buyer can save as a draft for modification. If the post is in the draft mode then buyer can edit the created request.
RFQ (Request for Quotation):

Creating section:

Open RFQ Management and click “Add New” in the top-right corner.

Complete the form by specifying items title, classification, quantities, unit, delivery timelines, details, payment mode, delivery mode and etc.

Select the suppliers to receive the RFQ.

Choose Save as Draft (for later editing) or Send RFQ (to notify suppliers immediately).

Managing section:

Suppliers respond with price quotations, which are listed in the management view with their status.

Buyers can compare submissions, accept the most competitive offer, or reject unsuitable ones.

From an accepted quotation, the buyer can directly generate an Order.

📝 Note: Orders created through an RFQ are initially saved as drafts. Once the order is issued from the RFQ, buyers can review it and send it to the supplier through Procurement Order Management. From there, the remaining process continues within Order Management.

Fill in the detailed scope, technical requirements, evaluation criteria, and proposal submission deadline.

Select the service provider to receive the RFP.

Choose Save as Draft (for later editing) or Send RFP (to notify service provider immediately).

Service provider submit detailed proposals with technical and financial information.

Buyers can review, evaluate, and score proposals directly in Jazalla.

Buyers may accept or reject submissions and record evaluation outcomes.
- If awarded, the RFP can seamlessly move into an Contract creation.

📝 Note: The entire proposal management process is supported by real-time notifications. Both parties are instantly informed when a proposal is created, an order is created, or a contract is generated.
